This policy explains what data Soft France ("we", "us") collects when you use our software, why, and your rights under UK data protection law (UK GDPR & the Data Protection Act 2018).

Who we are

Soft France provides AI office software and set-up services for UK small businesses (the "Service"), at softfrance.co.uk and app.softfrance.co.uk. Soft France is a trading name of Irfan Khan, sole trader, 219 Aston Lane, Birmingham, United Kingdom — the data controller for the purposes of UK GDPR. What we collect

How we use it & legal basis

We use your data to provide and improve the Service, process your subscription, and keep things secure. Our legal bases are: performance of a contract (running your account), legitimate interests (securing and improving the Service), and consent where required.

Who we share it with (sub-processors)

We only share data with the providers that make the Service work, under appropriate safeguards: Supabase (database & auth), Stripe (payments), Twilio (phone numbers & call routing), Deepgram and Cartesia (speech-to-text and voice), Google and Anthropic (the AI models that draft quotes, replies and call responses), Resend (sending email), and Hetzner (hosting, in Europe). We never sell your data.

Separately, our public marketing website uses Umami (self-hosted), Microsoft Clarity, the Meta Pixel and the Google Ads tag — see the Cookies section below. These run on the website only, not on your business data inside the app.

How long we keep it

We keep your data while your account is active and for a reasonable period afterwards to meet legal and accounting obligations. You can ask us for a copy of your data, or ask us to delete it, at any time.

Your rights

Under UK GDPR you have the right to access, correct, delete, restrict or port your data, and to object to certain processing. To exercise any of these, email contact@softfrance.co.uk. You can also complain to the UK Information Commissioner's Office (ico.org.uk).

Cookies & tracking on this website

Inside the app (app.softfrance.co.uk) we use only the cookies strictly necessary to keep you signed in and the Service secure — no advertising cookies there.

On our public website (softfrance.co.uk) we do use measurement and advertising tools, and we'd rather say so plainly than bury it:

How to switch it off. Visit softfrance.co.uk/?notrack=1 once on a device and this site will stop firing the analytics, session-recording and Meta advertising scripts on that device. You can also block these through your browser settings or a tracker blocker, and you can opt out of personalised advertising in your Meta and Google account settings. None of this affects your ability to use the Service.
