Terms of Service

1. The Service

Soft France provides AI office software for small businesses — quoting, work tracking, invoicing, a client portal, and (on the AI Receptionist plan) an AI Call Catcher that answers calls on a dedicated UK number. We provide the Service "as is" and may improve or change features over time.

What the Service does not currently do. So there's no misunderstanding about what you're buying: the AI Call Catcher captures the caller's details and sends you a transcript, but it does not book appointments during a call; there are no scheduled or automatic sends (quotes, replies and payment reminders are AI-drafted and sent by you); there are no third-party integrations (no accounting, calendar or CRM sync, and no e-signature); and there is no iOS or Android app — the Service runs in a web browser.

2. Your account

You must give accurate details, keep your login secure, and be responsible for activity on your account. You must be a business (or sole trader) using the Service for your business.

3. Free trial & subscription

• New accounts get a 14-day free trial. No card is required to start, so nothing can be charged automatically. If you don't subscribe, paid features simply stop at the end of the trial.
• Plans are AI Estimator at £49.99/month and AI Receptionist at £99.99/month, billed monthly in advance. Annual billing is available at £499/year and £999/year respectively (two months free), billed yearly in advance.
• We are not VAT registered, so no VAT is added to these prices.
• You can cancel anytime; cancellation takes effect at the end of the current billing period. We don't give partial-month or partial-year refunds unless required by law.
• The AI Receptionist includes 500 Call Catcher minutes per month; minutes beyond that are charged at £0.30 per minute. During the free trial, Call Catcher use is capped at 60 minutes.
• We may change our prices. Any change is notified in advance and applies from your next renewal, never retrospectively.

4. Payments

Payments are processed by Stripe. By subscribing you authorise us (via Stripe) to charge your payment method for the recurring fee until you cancel.

4a. Set-up and support services ("done for you")

We also offer paid set-up and ongoing support work, where we configure the Service around your business. There is no list price for this: the scope, the timing and a fixed price are agreed in writing after a free discovery call, and no chargeable work starts until you have accepted that in writing. The discovery call itself is free and carries no obligation.

5. AI outputs — important

The Service uses AI to draft quotes, answer calls and summarise messages. AI can make mistakes. Quotes and AI responses are drafts/estimates for you to review — you remain responsible for what you send to and agree with your customers. Always check figures before sending.

6. Acceptable use

Don't use the Service unlawfully, to send spam, to infringe others' rights, or to attempt to disrupt or reverse-engineer it.

7. Your data

Your business data stays yours. We process it to run the Service as described in our Privacy Policy. Email us at any time and we will send you a copy of your data or delete it.

8. Availability & liability

We aim for high availability but don't guarantee uninterrupted service. To the extent permitted by law, our total liability is limited to the fees you paid in the previous 3 months, and we're not liable for indirect or consequential loss (e.g. lost profits).

9. Termination

You can stop using the Service and cancel anytime. We may suspend or end accounts that breach these terms.

10. Governing law

These terms are governed by the laws of England & Wales, and disputes are subject to the courts of England & Wales.
